If you are attending a Karv Training session.
Effective date: 22 September 2026.
Who is responsible for your data
Your employer, or the organisation that booked the session, decides why your data is processed and is the controller. Karv Web Education Solutions Ltd, trading as Karv Training, delivers the session and produces that organisation's training record on its behalf, as its processor. For the online certificate check described below, Karv Training is the controller.
What we collect
Your name, your work email address, your job title, whether you are an employee or a contractor or agency worker, and whether you attended. For a live online session, the meeting platform records when you joined and left; we use that to work out how long you attended. That is all.
We do not test you or score you. We do not record the session. We do not collect personal email addresses, phone numbers or anything about your health, beliefs or personal life.
Why
Article 4 of the EU AI Act asks your organisation to take measures that support AI literacy and to be able to show what it did. Your name and attendance go into its training record. You also receive an individual Certificate of Attendance by email to your work address.
Who sees it
Your organisation receives the training record listing everyone who attended and for how long. You receive your own certificate. The systems we use to hold and send this are listed in our Privacy Policy; they are contracted to us and cannot use your data for their own purposes.
How long
Join and leave times from the meeting platform are deleted 30 days after the record is issued; only your total time attended is kept. The record, your attendance and your certificate are deleted three years after the session unless your organisation has agreed a different period with us. Deletion is automatic and logged.
Your certificate and the online check
Your certificate carries a random code and a QR code. Anyone with the code can confirm at karvtraining.com/verify that it is genuine. The check shows only your first name and last initial, the course title, the date and that Karv Training issued it. It does not show your email, job title, organisation or attendance time.
Your rights
You can ask for a copy of what is held about you, ask for a correction (we reissue the certificate), or ask for it to be erased. Erasure removes your name, email and job title, withdraws your certificate so the online check returns "No certificate found", and deletes the certificate file. Ask your organisation first, since it is the controller, or email danny@karvtraining.com and we will pass the request on and help answer it within one month. You can also complain to the Data Protection Commission in Ireland.
